Exempt Pay for All Hours Worked

Unanet provides the ability to pay exempt employees on a semi-monthly or monthly time period for all hours worked, including overtime.  A semi-monthly or monthly period contains a different number of hours for different months.  One period could contain 80 hours and another 96 hours.  For each period the exempt employee receives the same salary.  Using the Unanet dilution, the rate is adjusted for the regular hours charged to a diluted pay code in the period to calculate a correct semi-monthly (annual salary divided by 24 periods) or monthly salary (annual salary divided by 12 periods). The additional hours above the normal hours in the period are at the hourly cost rate of the individual and charged to one or more specific projects.  The hourly cost rate is the annual salary divided by 2080 hours and is included in the Cost Rate in the Unanet user profile.   These hours may be burdened with indirect costs or unburdened.

Paying for all the hours requires charging the standard hours in the period to diluted pay codes which MUST be equal to the standard hours in the period.  A time submittal stored procedure could be used to ensure this.  

For Leave Without Pay (LWOP), exempt employees must report LWOP hours so that the total LWOP + hours worked = standard hours in the pay period.  You must use an undiluted pay code with a 0 factor assigned to the LWOP project.  The adjusted rate is used to price the hours worked and paid and LWOP is $0.  Companies may have different policies on how they price hours worked in an LWOP period.

Julie Maynard is a salaried and exempt employee.  Her annual salary is $66,560.00.  Her hourly cost rate is $66,560.00 divided by 2080 or $32.00.  Her semi-monthly salary is $66,560.00 divided by 24 or $2773.33.

You need to set up two pay codes.  The time charged for regular time will use the RT pay code and any over time above the regular hours will use the RT1 pay code.  LWOP will be charged to the LWOP pay code.


Report for May 1 – May 15 with 88 hours of Regular Time:

Note that Julie is paid $2,773.33, her semi-monthly salary for 88 hours plus 4 additional hours at the $32.00 rate.


Report for May 16 – May 31 with 96 hours of Regular Time:

Note that Julie is paid $2,773.33, her semi-monthly salary for 96 hours.
